Set up PalmHost Email in Outlook or another email app
You can connect your PalmHost mailbox to Outlook or another compatible email application using the PalmHost mail server settings below.
You will need your mailbox email address, your mailbox password and the email username supplied for your service.
Your PalmHost email settings
Use the following settings when configuring your mailbox:
Incoming mail — IMAP
- Protocol: IMAP
- Server: Use the mail server name supplied for your domain
- Port: 993 with SSL, or 143 with STARTTLS
- Username: The username allocated by PalmHost and supplied in your welcome email
- Password: Your mailbox password
IMAP keeps your messages on the mail server and allows the same mailbox to be accessed from multiple devices.
Incoming mail — POP3
If your email application uses POP3 instead of IMAP:
- Protocol: POP3
- Server: Use the mail server name supplied for your domain
- Port: 995 with SSL, or 110 with STARTTLS
- Username: The username allocated by PalmHost and supplied in your welcome email
- Password: Your mailbox password
IMAP is generally the more suitable option when you want to use the same mailbox on more than one device.
Outgoing mail — SMTP
Use SMTP to send messages from your email application:
- Protocol: SMTP
- Server: Use the mail server name supplied for your domain
- Port: 587 with STARTTLS, 465 with SSL, or 25 with STARTTLS
- Username: The username allocated by PalmHost and supplied in your welcome email
- Password: Your mailbox password
Your email application should authenticate with the PalmHost mailbox when sending email. If Outlook or another application asks whether the outgoing server requires authentication, enable authentication and use your PalmHost mailbox credentials.
Set up your account in Outlook
The exact screens can vary between Outlook versions, but the process is generally to add a new email account and choose the option that allows you to enter the server settings manually.
- Open Outlook's account settings.
- Choose the option to add a new email account.
- Enter your PalmHost email address.
- Choose IMAP if you want to use IMAP.
- Enter the PalmHost incoming and outgoing server details.
- Enter the ports and encryption settings shown above.
- Enter the PalmHost username supplied in your welcome email.
- Enter your mailbox password.
- Save the account settings and allow Outlook to test the connection.
Other email applications require the same basic information, although the names and locations of their settings may differ.
Which connection should I use?
For a typical mailbox used on a phone, tablet and computer, IMAP is the appropriate incoming-mail protocol because the mailbox remains synchronised with the mail server.
For secure connections, use the SSL or STARTTLS option supported by your email application and the corresponding port listed above.
If the account does not connect
Check the following before contacting Support:
- Make sure you entered the correct mailbox email address.
- Check the username supplied in your PalmHost welcome email.
- Check that you are using the mailbox password rather than your PalmHost Client Area password.
- Check that the incoming server and outgoing SMTP server names are correct for your domain.
- Check that the port matches the selected encryption method.
- For outgoing email, make sure SMTP authentication is enabled.
If the connection still fails, contact PalmHost through Support in your Client Area. Include the email application you are using and the error message displayed by the application.
Do not include your mailbox password or other confidential credentials in a support ticket.
